ARISE GTM AI Governance Standard™ AI & ChatGPT Usage Policy

At ARISE GTM, we operate a governed AI framework designed to accelerate Go-To-Market execution while protecting client data, intellectual property, and strategic integrity. AI is used as an augmentation tool to enhance insight, speed, and creativity, not as a replacement for human judgement, strategic thinking, or accountable decision-making.

This policy defines the standards, controls, and acceptable use of AI technologies within ARISE GTM to ensure our work remains compliant, secure, ethical, and aligned with our client commitments and contractual obligations. It is the governing policy of our AI management system, which is aligned to ISO/IEC 42001, the international standard for AI management systems.

Purpose

This policy establishes clear guidelines for the responsible use of artificial intelligence across ARISE GTM delivery, including strategy, execution, operations, and insight generation. It exists to ensure all AI usage remains aligned with ARISE GTM's governance standards, brand integrity, and the confidentiality expectations of our clients.

Scope

This policy governs both the AI we use and the AI we build. It applies to:

  • Third-party AI tools and platforms used in delivery, marketing, sales, and operations
  • AI-powered systems we develop and operate ourselves, including automated outbound prospecting pipelines and custom AI workflows
  • AI components we configure or deploy into client environments

Every in-scope AI system is recorded in our AI system inventory, which is the authoritative, current register of approved systems and is reviewed quarterly. The environment categories below define our governance tiers; the inventory reflects the current stack.

Approved AI Environments

ARISE GTM only utilises AI tools and platforms that meet our governance requirements. These environments fall into three categories:

A. Generative AI & LLM Systems (Enterprise / API Controlled)

These tools may be used for controlled AI-assisted generation, analysis, and workflow acceleration.

  • OpenAI (ChatGPT / API)
  • Anthropic (Claude / API)
  • Omni AI

ARISE GTM utilises API-based or enterprise-grade AI environments where commercially available. Client Confidential Information is not used for vendor model training and is processed in accordance with vendor data processing terms and restricted or zero-retention configurations where configurable.

B. AI-Embedded & Data Intelligence Platforms

These platforms incorporate AI-driven analytics, automation, and insight functionality within governed SaaS environments.

  • HubSpot AI
  • Databox and integrated BI tools
  • SEMrush
  • Bombora
  • Similarweb
  • LinkedIn Insights
  • AdClarity

These tools may be used for insight generation, reporting, analysis, segmentation, performance monitoring, and GTM decision support.

C. Research AI Tools (Public Domain Research Only)

These tools may be used only for public-domain research and synthesis.

  • Perplexity

Research AI tools must not be used to process Client Confidential Information or Personal Data unless explicitly authorised in writing.

AI Systems We Build and Operate

In addition to third-party tools, ARISE GTM develops and operates its own AI-powered systems, including automated prospecting workflows and delivery automation deployed under controlled conditions. These systems are governed to the same standard as the work they produce:

  • Every built system is registered in the AI system inventory before entering production use, with a named owner
  • Built systems follow our engineering controls: version control, authenticated endpoints, secure credential management, input validation, audit logging of automated runs, and rollback capability
  • Systems deployed into client environments are validated and authorised before deployment, with changes logged per deployment
  • AI systems support decisions; they do not make consequential decisions about individuals autonomously

Acceptable Use Cases

AI may be used by ARISE GTM to support delivery across the following areas:

Content Development

AI may be used to support ideation, drafting, editing, rewriting, optimisation, and structuring of marketing, sales, and enablement content.

Strategy & Insight Acceleration

AI may be used for market mapping, competitor analysis, category insight generation, customer intelligence synthesis, and trend analysis to support strategic GTM work.

Automation & Operational Efficiency

AI may be used to accelerate repetitive tasks, prompt engineering, internal workflow automation, and operational execution activities.

Customer & Account Intelligence

AI may be used to support persona development, ICP refinement, account-based marketing strategy, segmentation, messaging testing, and campaign personalisation.

Performance Analytics & Reporting

AI may be used in conjunction with BI systems to support forecasting, reporting automation, performance analysis, and decision intelligence.

Data Handling & Protection Controls

ARISE GTM applies strict data governance controls to all AI usage.

Confidentiality Standards

Client Confidential Information and Personal Data must only be processed within approved AI environments. No confidential or sensitive client information may be entered into unsecured or consumer-grade AI systems.

Lawful Processing of Personal Data

Where our AI systems process personal data , including in automated outbound prospecting , we do so in accordance with UK GDPR and PECR, under a documented lawful basis, and we minimise the data processed to what the purpose requires. Recipients of our outreach can always object or unsubscribe, and we honour those requests promptly and permanently.

Model Training Restrictions

ARISE GTM does not permit Client Confidential Information or Personal Data to be used for vendor model training. Where configurable, AI tools are operated under enterprise-grade contractual environments that prohibit training on customer data.

Retention & Storage Controls

Restricted data retention configurations are enabled where commercially available. AI outputs that contain Client Confidential Information must be stored only within ARISE GTM-controlled systems and may not be stored in unmanaged third-party environments.

Research Tool Restrictions

Public-domain research tools (such as Perplexity) must not be used for processing client-provided data, internal documentation, or confidential materials unless explicitly approved in writing.

Human Oversight & Quality Assurance

AI is not treated as an autonomous decision-making system. All AI-assisted outputs are subject to human oversight and quality control.

Mandatory Human Review

All AI-generated content must be reviewed and edited by a human prior to delivery to ensure accuracy, relevance, appropriateness, and alignment with ARISE GTM's standards and the client's brand voice.

Bias and Accuracy Controls

AI-generated outputs must be assessed for bias, hallucination risk, factual inaccuracies, or misleading recommendations. Where uncertainty exists, outputs must be validated against reliable sources before being relied upon or shared.

Strategic Accountability

AI may accelerate execution, but strategic judgement and accountability remain the responsibility of ARISE GTM consultants and delivery teams.

AI Risk, Impact & Incident Management

Our AI governance operates as a managed system, not a static document:

  • Risk assessment: every in-scope AI system is subject to a documented risk assessment, reviewed at least annually and whenever a significant change occurs to the system, its vendor, its data, or its use
  • Impact assessment: where a system's operation can affect individuals, such as automated outreach, it additionally undergoes an AI impact assessment covering affected parties, potential harms, oversight, and transparency measures
  • Vendor governance: AI vendors are assessed before adoption for security, data handling, model-training practices, and contractual protections; assessments are recorded and reviewed
  • Incident handling: AI-related incidents, including material inaccuracies delivered to a client, privacy complaints arising from outreach, or misuse of an AI system, are logged, remediated, and reviewed for systemic fixes

Intellectual Property & AI-Enhanced Outputs

AI tools are used as assistive technologies within ARISE GTM delivery systems.

All methodologies, diagnostic frameworks, prompt libraries, automation logic, workflow structures, strategic templates, model configurations, and internal delivery systems used in AI-assisted delivery remain the exclusive Intellectual Property of ARISE GTM unless explicitly transferred in writing.

Clients receive rights only to the final Deliverables as defined in the applicable Statement of Work.

Prohibited Uses

The following uses of AI are prohibited under this policy:

  • Using AI-generated content without human review and quality assurance
  • Inputting Client Confidential Information or Personal Data into non-approved or unsecured AI environments
  • Operating an AI system that is not recorded in the AI system inventory
  • Using AI to generate misleading, manipulative, unethical, or deceptive content
  • Using AI as a substitute for strategic judgement, accountable decision-making, or critical analysis
  • Using AI to generate content or recommendations that could harm ARISE GTM's reputation, client trust, or compliance obligations

Ethical Standards

ARISE GTM commits to operating AI systems ethically, transparently, and responsibly. AI usage must support trust, integrity, and long-term value creation, and must never undermine client confidence or misrepresent the nature of work delivered.

Where ethically or legally required, ARISE GTM will disclose the use of AI-assisted content or AI-enabled workflows.

Accountability, Compliance & Enforcement

This policy applies to all ARISE GTM employees, contractors, and authorised delivery partners.

The Founder of ARISE GTM is accountable for this policy and for the AI management system that implements it.

ARISE GTM maintains internal governance processes, controlled tool access protocols, and vendor compliance monitoring to ensure adherence to this policy. Non-compliance may result in access restriction, removal from delivery activities, contract termination, or other appropriate enforcement measures.

This policy is reviewed at least annually as part of our management review and whenever a significant change to our AI systems, vendors, or applicable regulations requires it.
